How can I plan and track my budget within the campaign?
Learn how to plan and manage your budget efficiently
With the IROIN® Influencer Marketing Suite, you always have control over your campaign budget – from planning to execution. The campaign dashboard clearly shows you your planned costs, expenses already incurred, and the remaining budget, so you always have an overview. This way, you can ensure your resources are being used optimally and focus on a successful campaign.
Set a budget and track expenses
Start in the campaign settings by entering your total budget to determine the maximum costs a campaign can incur. Internally, we recommend clarifying which costs should be recorded, because in addition to direct compensation, buyout rights, paid ad budgets, or production costs could also be incurred. This is especially important if you are allocating individual cost blocks to the respective influencers.
Once the budget is defined, you can now record the costs for each influencer. It's up to you whether you enter a one-time amount, as the performance of individual posts isn't relevant to you. In general, we recommend that each post be given a "price tag" so that you and the team can better understand where you can best optimize and allocate budgets.
Pricing is set directly via the orders, giving you full control and transparency over your budget. To do this, go to the relevant creator in the Campaign Manager, click the three dots, and select "Add Order." In the next step, you can enter the price for the respective post directly. This way, the amount initially appears in the planned costs. As soon as the creator posts and a post is linked to the order, the amount is automatically transferred to the incurred costs—for a precise, real-time budget overview.
The dashboard updates automatically and shows you how much you've already spent and how much you still have available. First, you see the costs incurred (€9,650), i.e., the actual expenses already incurred. Next to it, in parentheses, is the total planned costs (€17,500) – i.e., the budgeted expenses based on the stored order values. Last but not least, you see your total budget for the entire campaign (€150,000) – as a reference framework for planning, management, and controlling. This gives you a clear overview at all times without having to do any manual calculations. In the screenshot below, we haven't entered a budget, so any amount entered would immediately result in a red display. Therefore, the steps mentioned above are important for obtaining a reliable overview.
Additionally, the platform shows you CPM (cost per mille) to evaluate the performance of your investments. This real-time data helps you quickly see whether you're on the right track or need to make adjustments.
Flexibly adapt and optimize
If your strategy changes—perhaps you want to add more influencers or focus on a successful content format—you can adjust your budget at any time. Use the insights from CPM to decide whether a reallocation makes sense, such as investing more money in high-reach Reels. This flexibility and transparency ensures your budget is used efficiently and your campaign achieves maximum impact.
