Content Approval: How can I control content approvals in IROIN®?
Learn how to ensure that the quality of content better meets your expectations thanks to Content Approval
Successful influencer marketing depends on creators adhering to brand guidelines and campaign specifications while maintaining their creative freedom. Clear communication is crucial to ensure posts are published in the desired style, with correct hashtags, and a suitable message. The IROIN® Influencer Marketing Suite offers an effective solution with the Content Approval feature for reviewing and approving posts before publication, ensuring your campaign appears consistent and professional.
Create clear foundations
The first step is a detailed brief. Give influencers clear instructions on what message they should convey, which hashtags like "#YourBrand" or "#Campaign2024" they should use, and what tone of voice (e.g., casual or serious) is expected. Supplement the brief with visual examples, such as image composition or video length, to avoid misunderstandings. A binding contract solidifies these agreements and protects both parties by setting deadlines and quality standards. Also consider allowing for flexibility for creative adjustments to promote creator authenticity.
Use Content Approval in IROIN®
With Content Approval at IROIN®, creators upload their planned posts in advance. You can review these posts in the dashboard, comment on them—e.g., "Please adjust the hashtag"—and approve them. No content goes live until your team gives the green light. If adjustments are necessary, you can provide immediate feedback and request changes, such as adding a call to action. This feature saves time and ensures that only on-brand content is published, strengthening your campaign's consistency.
In addition to manual review, you can define monitoring criteria such as specific hashtags, mentions, or keywords. The system automatically monitors whether posts meet these requirements, e.g., whether they contain "#YourBrand," or notifies you if deviations occur. This way, you stay up to date and can follow up with the influencer if necessary to ensure the campaign is running as planned. You can also decide whether your client or other internal people should provide feedback before you give the final green light for the content.
This structured approach with IROIN® streamlines the approval process and ensures that your brand guidelines are followed while supporting influencers' creativity.
Content Approval on the go – how to set up the approval process efficiently
To ensure your content approval process runs smoothly, you should set it up properly from the start. Start with the campaign settings and activate the "Require approval for posts" option only if all content pieces in your campaign are linked for content approval. This ensures that content approval is automatically activated with every new order created – without any additional effort.
Of course, you can also manually manage approval for each order: Simply activate the switch in the top right corner of the respective order.
Our tip: Use the campaign settings to save you and your team valuable time – and keep track of all approvals in a structured process.
In the next step, you create all the required assignments – including the posting date and the date for submitting the draft. In each assignment, you have the option to add additional information in the "Assignment Details" section – specifically tailored to the respective influencer. These notes are visible only to the respective person and can include, for example, additions to the brief, special requests, or individual notes. Simply enter the information at the bottom of the assignment – the influencer will then see it directly in their personal dashboard. This way, you create clarity, avoid follow-up questions, and ensure a smooth process.
Important: For the last task, activate the checkbox "Invite influencers to approve posts." This will automatically open the dialog window for sending the email.
Here you can decide whether you want to customize the email template or send it directly. Feel free to use the preview function to take a final look at the message. All previously created orders will be automatically listed in this email – saving time and providing clarity. This means you don't have to send each order individually; you can handle all communication in one place via the most recent order.
Note: This email invites the influencer to collaborate via our Collaboration Manager—the starting point for the on-the-go approval process.

Keep track of the content approval process
Once you've invited influencers to approve your post and the first draft has been uploaded via the Collaboration Manager, you'll automatically be notified of all changes via email—no manual tracking required.
You can see the current status of your orders at any time using the status indicators:
-
Green tick – draft approved
-
Warning triangle – draft overdue
-
Red Cross in the district – draft rejected
-
Yellow status – draft submitted
-
Plus sign – draft still pending
This way, you always know exactly where your content approval process stands – clear, structured, and transparent.
You sit in the cockpit – full control over design approval
When it comes to content approval, you're always in control: In the Campaign Manager, you can take direct action using the three dots in the order line - approve drafts, reject them with a reason, share them, or even upload them manually (e.g., if a draft was received by email).
If you prefer the visual approach, you'll find an intuitive overview under Campaigning > Posts. Here, you can easily control approval with a click:
-
Green check mark – release draft
-
Red Cross – reject draft
-
Share icon or three-dot menu – further options such as forwarding or uploading
By activating the "Customer approval required" switch, you can directly involve your customer in the approval process. If the content is approved, the check mark turns green; if it is rejected, a red cross appears. Important to note: As an administrator or employee, you manage the process. This means you can finally approve content even if customer approval has been rejected—for example, due to a strategic decision or internal coordination.
